Planning a destination wedding from afar can be a daunting task, but fear not! The BW Studio + Events Team is here to make this process a breeze, just as we did for Kerri and Brad when they organized their Chicago Botanic Garden wedding all the way from sunny California.
Choosing to hire a full-time wedding planner means you will receive a top-notch concierge service that covers everything from the moment you engage us to the grand finale of your wedding night. When Kerri and Brad first approached us, they had nothing but a date and a venue set. The rest was a blank canvas waiting for us to fill it with magic, and we had a tight eight-month deadline to make it all happen. Despite the distance, we hit the ground running, maintaining a well-structured game plan to keep them on track and organized, even with the time zone differences.
At BW Studio + Events, we follow a straightforward four-phase process:
Phase 1: Planning
We begin by discussing your budget and identifying the wedding elements that hold the most significance for both of you. These elements are crucial in bringing your wedding vision to life, but also staying on budget. We then assemble an exceptional vendor team, which includes your venue, caterer, officiant, entertainment, photographer, and videographer. With these initial key players on board, we know we can host a successful wedding.
Phase 2: Design
Now, we dive into the aesthetics! During this phase, our focus shifts to the visual aspects of your big day. We work on defining the overall look and feel you wish to achieve. Once we grasp your desired style, our team crafts a Wedding Design Deck, which acts as a playbook for your wedding. This deck outlines all the chosen details, providing you with a clear vision of how everything will come together. In this phase we hire your florist, decor and styling vendors. It's also the perfect time for you to select your wedding gown, shop for bridesmaid dresses, and explore groom and groomsmen attire.
Phase 3: Logistics
This phase is all about making sure every piece of the puzzle fits perfectly. (Also, BW’s favorite phase!!) We work closely with your chosen vendors to create a comprehensive timeline that highlights important elements like getting ready, photography windows, and personal time for you and your family. We coordinate with each vendor to ensure they understand their role on the big day and have ample time for setup and takedown.
Phase 4: Wedding Day Execution
The moment you've been waiting for has arrived! It's time to witness all the hard work come together in one magical day.
The Chicago Botanic Garden provides a stunning backdrop for any kind of wedding day, but especially the subtle and romantic style that Kerri and Brad embraced with their elegant florals and understated design. They allowed the garden's beauty to truly speak for itself.
The day began with a romantic first look in the English Garden, followed by a lovely ceremony among the rows of trees in alongside the Rose Terrace. Afterward, guests were welcomed to the adjoining terrace enclave for passed appetizers and signature cocktails.
As the sun dipped below the horizon over the picturesque Great Basin pond in the heart of the Chicago Botanic Garden, guests and the wedding party moved down the walkways to the McGinley Pavilion for dinner and dancing.
The highlight of the evening was an outstanding live band, with a surprise appearance by none other than the groom and groomsmen!
The Chicago Botanic Garden is truly a unique wedding venue, offering a beautiful journey through its variety of spaces while allowing couples to tell their love story through ceremonies, rituals, décor, and entertainment. It's always a delightful experience for guests of all ages!
